Job Description

  • Warmly greet and direct visitors to appropriate staff or service areas.
  • Provide essential information to clients and the general public regarding hospital services.
  • Gather and process necessary client information to facilitate effective customer service.
  • Operate the main telephone system, including managing a switchboard, answering calls, and accurately relaying messages.
  • Schedule and confirm appointments for veterinary services.
  • Prepare and dispatch invoices, and manage the receipt and issuance of payments.
  • Maintain thorough and accurate work records and logs.
  • Calculate billing charges for services rendered.
  • Perform data entry tasks efficiently.
  • Deliver exceptional customer service consistently.

Requirements

  • Possession of a secondary (high) school graduation certificate.
  • Prior experience in a similar role is considered an asset.
  • Fluency in English is required.
  • Demonstrated computer proficiency, including experience with electronic medical records, switchboard operation (1-25 lines), electronic scheduling systems, word processing software (e.g., MS Word), database software, and email applications (e.g., MS Outlook, MS Windows).
  • Ability to be bondable.
  • Reliable personal transportation is necessary for this role.
  • Must be legally authorized to work in Canada, either as a Canadian citizen, a permanent resident, or a temporary resident with a valid work permit.
  • Strong personal suitability, including efficient interpersonal skills, excellent oral and written communication, adaptability, organizational skills, reliability, a team-player attitude, strong multitasking abilities, and effective time management.

Working Conditions / Benefits

  • Hourly Wage: $17.75 to $19.25 (to be negotiated)
  • Working Hours: 35 to 40 hours per week
  • Employment Type: Permanent, Full-time
  • Schedule: Day shifts and weekends, with an immediate start date.
  • Work Environment: This position is located on-site at 750 Macdonell Street, Thunder Bay, ON, P7B 4B6, within a private sector veterinary clinic. The role demands an ability to work independently in a fast-paced environment, under pressure, with tight deadlines, and may involve repetitive tasks. Requires keen attention to detail and involves a combination of sitting, standing, and walking.
